Replacement & Maintenance
How Maintenance Contractors Source Replacement Aluminium
A practical guide to choosing and working with a supply-only aluminium fabricator for replacement doors, shopfronts, windows and louvre panels.

Maintenance contractors often need a single made-to-order aluminium product rather than a full building package. It might be one failed entrance leaf, a damaged shopfront section, a louvre door or a window within a larger estate.
The site team deals with the immediate safety issue. The fabricator’s role begins once the opening is safe and there is enough survey information to price and make the replacement.
This guide explains how to choose a supply partner for permanent replacement fabrication while the site team retains immediate safety and temporary works.
What to look for in a replacement fabricator
Single items are accepted
A replacement order is often one opening. Check that the supplier has no minimum order value and will quote a single leaf, frame or panel without pushing it into an unrelated batch.
The supplier works from trade information
Independent installers and maintenance firms do not always start with a formal drawing pack. A useful fabricator can review a survey, sizes, photographs, a marked-up sketch or an opening schedule and explain what is still needed.
The customer remains responsible for the survey and installation. The fabricator should make that boundary clear without making the quotation process difficult.
Lead times are stated in working days
Made-to-order aluminium follows a planned fabrication programme after the opening is safe and surveyed.
Allow approximately 21 working days for general planning. The quotation confirms the current lead time, its start point, the exact date and any exceptions caused by the product, glass, hardware, finish or incomplete information.
Replacement risks are raised before manufacture
Older profiles, discontinued locks and weathered powder-coated finishes can prevent a true like-for-like match. A dependable supplier identifies those issues during quotation and approval rather than leaving the fitting team to discover them on site.
Orders are checked and clearly identified
Swing doors should be assembled and function-checked on the workshop jig before dispatch. This is a fabrication QC check, not certification testing. Where specified, leaves should arrive pre-glazed and gasketed. For several openings, each item should carry the survey or schedule reference used by the site team.
The supplier does not compete for the installation
Supply-only matters when your customer relationship and fitting margin belong to you. Confirm that the fabricator supplies the product and technical information without taking the installation work.
Standardise the survey information
Using one survey format across engineers saves time and reduces ambiguity. Capture:
- complete inside and outside photographs;
- width and height measured in several places;
- frame depth, threshold and sightlines;
- door handing and opening direction;
- lock, closer, pivot or floor-spring details;
- panic hardware and access-control preparation;
- glass build-up where known;
- RAL finish or a daylight colour reference;
- site or depot delivery postcode;
- required date and any access restrictions.
Our commercial door replacement lead-time guide explains how those details move through quotation, approval, fabrication and delivery.
Start with one representative order
If you are changing supplier, a single item is a sensible first order. Choose an opening that represents the work you normally buy, then assess:
- whether the quotation scope is clear;
- whether missing information is identified early;
- whether the drawing reflects the survey;
- whether the stated lead time is kept;
- whether the product arrives complete and properly protected;
- how easily your installer can fit it.
There is no need to move every repeat order at once. Build confidence on one product, then agree familiar specifications and staged orders where that helps.
Plan repeat replacement work
Facilities and property teams may have several openings across one site or portfolio. Treat them as planned made-to-order supply with consistent information and an agreed order sequence.
Useful details include:
- opening references used by the maintenance system;
- the product and named profile, where known;
- which items are replacements and which are new;
- the required sequence;
- whether delivery is to a depot or directly to site;
- how completed items should be labelled;
- which orders can be supplied together or in stages.
The quotation should show the lead time for each product and any material that could affect the sequence.
